Read your current agency agreement
Check notice, outstanding charges and any restrictions. Do this before telling the existing agent that management has ended. If the wording is disputed or unclear, obtain appropriate advice.
Agree the new management arrangement
Confirm what the new agent will handle, the fees and the target date. Explain any arrears, ongoing repairs, missing documents or disputes at the outset.
Bring the tenancy records together
The handover may need the signed agreement, deposit records, rent ledger, certificates, inventory, keys, tenant contact details and outstanding work. Missing items should be identified and followed up rather than treated as complete.
Make the money position clear
Check the rent period, money held and any balances to transfer. The new agent should understand the starting position before issuing statements or chasing arrears.
Tell the tenant what changes
Explain who now manages the home and how to report repairs or ask questions. Any change to payment instructions should be verified securely, not accepted solely because an email says the bank details have changed.
Keep outstanding jobs visible
An agent switch does not make a repair or dispute disappear. Agree who will progress each issue after the handover.
